NotesGuidelines for Hosting an Event in the Anthony J. Drexel Picture Gallery

In order to reserve the Anthony J. Drexel Picture Gallery, please be aware of the guidelines listed below. Works from The Drexel Collection are exhibited in the historically restored Picture Gallery. Consequently, guidelines must be enforced to protect the art and the historic space.

The Picture Gallery is unavailable most days from 10:00 am to 3:30 pm and Saturdays from 10:00 am to 1:00 pm because it is reserved for Drexel University Enrollment Management Sessions. Additionally, reservation availability will be limited from 3:30 pm to 5:00 pm because the gallery is open to the public.

Security guard coverage is required for all events.

Standard room set up is lecture hall. Approved alternative room set-ups are available through Event Services. Any changes must be completed by University Facilities. Bar set-ups are not permitted in the Gallery unless approved by the Assistant Director of the Drexel Collection in conjunction with the Event Services Office.

Food and butlered beverages are permitted during receptions and dinners. No sternos or candles may be used. No red wine may be served in the Gallery. Disposable catering events are not permitted in the gallery; a catering attendant is required for the full-length of all events with food. No food should be left overnight or unattended in the Gallery. No trash bins are permitted in Gallery. All catering arrangements must be made through Chestnut Street Caterers <>.

All decorations must be tabletop only. No confetti or glitter is permitted in the Gallery.

The piano is permitted to be played; however, placing anything on the lid is prohibited. If tuning is required for an event, please contact the Assistant Director of the Drexel Collection at 215.895.2414, <>. The cost of the tuner will be incurred by the host of the event.

Student organizations must have their University Staff Advisor present for the duration of an event in order to reserve the space.

No backpacks or large bags may be brought into the Gallery. All backpacks and large bags must be deposited at the desk in the Gallery or left outside the Gallery.

Report any damage to artwork to the Assistant Director of The Drexel Collection, Main 304, (w) 215.895.2414; (c) 302.438.2722.

It is the responsibility of the organization/department making the reservation for any loss or damage to the Anthony J. Drexel Picture Gallery property caused by the negligence, their agents or their guests. The Drexel Collection reserves the right to modify any event reservations and/or ask for event attendees to evacuate the Gallery in the context of an emergency.
